The Legal Administrative Assistant’s role is to provide variety of support to the Company’s in-house attorneys and paralegals. This support ranges from greeting visitors, to tracking expenses for budgets, to preparing correspondence, as further described below. The Legal Administrative Assistant is often required to work in a fast-paced environment that requires strong organizational and time-management skills, attention to detail, and excellent communication skills in both English and Spanish.

Responsibilities

The Legal Administrative Assistant provides a broad scope of support to the Legal team. The Legal Administrative Assistant’s responsibilities include, among other things:

  • Coordinating meetings, video conferences, and other events
  • Managing schedules, appointments and travel arrangements
  • Preparing expense reports
  • Greeting and hosting visitors, including arranging hotel accommodations, office space, etc.
  • Tracking external counsel invoicing and other expenses
  • Managing the filing of various records and reference materials
  • Preparing correspondence, presentations, and other documents
  • Managing and maintaining various corporate databases and minute books
  • Assisting with English/Spanish translations
  • Assisting attorneys and paralegals with their various matters, as needed
  • Performing a variety of other duties such as typing, answering/making phone calls, photocopying, mailing, faxing, and other communications

Qualifications

  • The legal authorization to work in the U.S. for any U.S. employer
  • At least 5 years of experience providing Legal Administrative support
  • Proven responsibility and organizational and time-management skills
  • Attention to detail and accuracy
  • The ability to proficiently speak, read, and write in English and Spanish
  • Excellent written and verbal communication skills
  • Solid computer skills and in-depth knowledge of relevant software, such as MS Office Suite
  • Integrity, good judgment and decision-making ability
  • Careful handling of confidential information
  • Strong information-gathering and information-monitoring skills
  • Initiative and flexibility
  • Proper telephone etiquette
  • Respectful of others and having excellent people skills
