The Back Office Analyst will be responsible for a variety of activities related to physical natural gas and crude transactions including confirmations, settlement and invoicing, and broker and clearing reconciliations. This position reports to the Back Office Manager of a large multi-national energy company.

Responsibilities

  • Utilize the transaction management system to confirm individual transactions and review counterparty confirmations in a timely manner
  • Identify trades with differences between counterparties’ confirmations and resolve differences, ensuring transactions are properly recorded
  • Ensure that energy confirmations reflect key provisions, including payment and credit requirements if necessary
  • Create, send, and track all trade confirmations including managing trades confirmed through electronic confirmation platform
  • Implement reporting and feedback mechanisms to monitor terms, verify that they are in compliance with contract terms, and identify when contract terms are or will be likely to be triggered.
  • Assist with managing the contract and confirmation dispute resolution
  • Utilize industry experience to facilitate negotiations and execute confirmations of gas transactions.
  • Assist with settlement and invoicing helping to research invoice differences
  • Reconciliation of scheduling records to pipeline statements
  • Assist with identifying, developing and preparing reports and analysis related to management needs and performance indicators for the Back Office team
  • Perform tasks related to sales tax compliance documentation, ensuring sales tax exemptions are provided or obtained as necessary
  • Assist with troubleshooting any back office process issues, collaborating with Accounting, Treasury and Process Support
  • Perform routine document management for key trade data, leveraging technology such as Sharepoint and Documentum, as well as best practice protocols for filing and organization of hard-copy and digital files
  • Provide any data to all business unit and corporate functions as needed

Qualifications

  • A minimum of 2+ years in back office of natural gas trading operations, or corresponding applicable work experience
  • A Bachelor's degree in a relevant field, or a combination of experience and education that provides similar skill set
  • Proficient in Microsoft Office applications; or demonstration of aptitude to be trained
  • Excellent interpersonal skills; ability to share knowledge cross-functionally; comfortable receiving questions about work product and ease with explaining processes and procedures and understanding linkages to internal controls
  • Familiarity with processes related to capturing wholesale natural gas transactions in ETRM systems
  • Familiarity with SAP or similar Accounting system
  • Self-motivated, able to work productively with little supervision to manage workflow and juggle priorities to meet deadlines
  • Persistence in problem-solving, and attitude of continuous process improvement
  • Flexible; able to continually adapt to changing priorities in a fast-paced trading environment while maintaining calm and motivational attitude
  • Teamwork; comfort in continual and daily collaboration with other back office analysts, working as a team to meet department objectives and back each other up
  • Strong verbal and written communications skills. Bilingual Spanish a plus.
  • Attention to detail; aptitude for reconciling similar trade details on a daily basis
