Repsol’s Houston Office is searching for an experienced, reliable and task-oriented Executive Administrative Assistant that will report to the Houston Office Managing Director. The Executive Administrative Assistant will work directly with C-level executives and will be responsible for performing a number of administrative duties as well as serving as the primary point of contact for internal and external constituencies on all matters pertaining to the Houston Office Managing Director. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Administrative Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.


  • Manages an active calendar of appointments; completes expense reports; composes and prepares correspondence that is sometimes confidential; arranges complex and detailed travel plans, itineraries, and agendas; and compiles documents for travel-related meetings
  • Plans, coordinates and ensures the Managing Director's schedule is followed and respected
  • Communicates effectively on behalf of the Managing Director
  • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the Managing Director. Determines appropriate course of action, referral, or response
  • Provides a bridge for smooth communication between the Managing Director's office and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff
  • Participates as an adjunct member of the Executive Team including assisting in scheduling meetings, videoconferences and catering
  • Interfaces with internal groups in the Houston Office and other countries. Ensures visitors needs are met
  • Provides assistance in coordinating team building events
  • Acts as Lead Assistant to other Administrative Assistants ensuring all in compliance and acting uniformly


  • Must be legally authorized to work in the US for any US employer
  • Associate's Degree or similar within a related field
  • Minimum of 4+ years of experience as an Executive Assistant reporting directly to senior management
  • Advanced Microsoft Office skills, with an ability to become familiar with industry-specific programs and software
    • Microsoft Office (Excel, Word, PowerPoint and Outlook), Preferred: Sharepoint proficiency 
  • Must be fluent in Spanish and English; both written & verbal
  • Proficiency in collaboration and delegation of duties
  • Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities

  • Bachelor’s Degree or higher from an accredited four-year university
